ZipBooks and Wave: the two cheapest options, split by what they skip

ZipBooks Smarter, at $15/month, is the cheapest plan on this list that meets the scenario: it connects multiple bank accounts and adds five team members, enough for the owner plus an accountant. Wave Pro costs $4 more a month but auto-imports transactions from connected banks rather than needing them added manually, and its free Starter tier is otherwise a stronger standalone ledger than ZipBooks' free Starter, which caps at one connected bank and a single user. Wave charges 2.9% + $0.60 per online card payment on Pro after the first 10 transactions each month, a cost that scales with how many clients pay by card rather than ACH or check.

Zoho Books: free until $50,000 in revenue, then $20/month

Zoho Books' Free plan already includes the accountant seat this scenario needs, plus native 1099 prep and filing, at no cost; e-filing 1099-MISC and 1099-NEC forms is a Standard-tier addition per Zoho's own plan comparison. The catch is a hard revenue ceiling: Zoho's own pricing page caps Free at $50,000 in annual revenue, and it doesn't connect bank feeds at any revenue level. Once either limit is hit, Standard, at the price in the table above, adds bank feeds and keeps the same 1099 tools, with extra users billed at $3/month each ($2.50/month if paid annually).

Patriot Software: unlimited invoices and users, no per-seat fee

Patriot's Accounting Basic plan bundles unlimited customers, invoices and automatic bank imports, and the vendor's own product page describes adding unlimited users as a standard capability, not a paid add-on, at the price shown in the table above. 1099 and 1096 creation is included at no extra charge on any plan; the optional 1099 e-filing service carries what Patriot's page calls a "nominal fee" without publishing the number, so budget for it separately rather than assuming it's bundled.

Kashoo: not free, but still the cheapest full-featured single plan

Kashoo's pricing page lists a single paid plan at $30/month, or $324/year if you pay annually, not a permanent free tier: unlimited invoices, bank feed sync, and unlimited users, so the accountant, bookkeeper and owner share one account at no extra seat cost. That covers the scenario's login and bank-feed requirements outright, for $180 a year more than ZipBooks Smarter. The gap is 1099s: Kashoo's own feature list doesn't mention contractor 1099 tracking or filing, so a firm that needs to issue 1099-NECs at year end has to pair it with a separate filing service. The vendor is also steering new signups toward a companion product, TrulySmall, without pricing it on this page, worth a second look before you commit if Kashoo's roadmap matters to you. Kashoo's 14-day trial needs a credit card on file to continue past the trial period.

QuickBooks Online, FreshBooks and Xero cost more, for different reasons

QuickBooks Online's actual free tier caps at 2 invoices a month and 1 bank connection with no accountant collaboration, so the real floor is Simple Start at $38/month; a launch promo drops that to $19/month for three months before it reverts. FreshBooks needs Plus, not its cheaper Lite plan, because accountant access is a Plus-and-up feature on FreshBooks' own pricing page: $43/month. Xero's cheapest Early plan caps at 20 invoices and 5 bills combined each month, well under this scenario's 30 invoices, so Growing at $55/month is the plan that actually fits, though it carries no per-user fee at all.

Manager and Odoo: the priciest routes here, and why

Manager's desktop software is free forever, but Manager's own guides say it "doesn't support multi-user access" and has no hosted bank feed sync, so a firm that needs the accountant to log in and wants automated feeds needs Manager Cloud at a flat $59/month for unlimited users and companies. Odoo's One App Free tier lets you run the Accounting app alone with unlimited users at no cost, but Odoo's own pricing page doesn't break out bank feed or contractor-tracking support by app, so a firm that also needs Contacts and Invoicing alongside the ledger ends up on Standard at $38.90/user/month billed monthly, or $31.10/user/month billed annually. Where the ranking flips

This ranking holds for exactly one owner and one outside accountant. Add a second staff member who needs their own login and the per-user fees start to bite on plans that charge per seat: FreshBooks Plus jumps from $43 to $54/month, and Odoo Standard adds a third $38.90 seat to reach $116.70/month. Zoho Books Standard already includes 3 users on its own pricing page, so it stays at $20/month for that third login too, and only moves to $23/month once a fourth user is added. Xero Growing and Manager Cloud don't move at all, since neither charges per user, so a three-person office lands Xero at $55/month against FreshBooks' $54/month and Manager's flat $59/month, a near-tie that a single extra hire on any per-seat plan breaks in Xero's favor.
