QuickBooks Desktop vs Online (2026): What to Do as Desktop Is Phased Out

QuickBooks Desktop vs Online in 2026: Pro Plus and Premier Plus no longer sell to new US subscribers, Online starts at $38/mo, Desktop Enterprise from $2,210/yr.

QuickBooks Desktop vs Online (2026): What to Do as Desktop Is Phased Out

Short answer: a new US business should choose QuickBooks Online, which starts at $38 a month on Simple Start, because Intuit stopped selling Desktop Pro Plus, Premier Plus and Mac Plus to new US subscribers after September 30, 2024. Existing Desktop Plus subscribers can keep renewing. The only Desktop you can still buy new is Desktop Enterprise, from $2,210 a year on Gold.

That makes "Desktop vs Online" a different question depending on who asks. For a new company it is Online versus Enterprise. For a current Desktop user it is whether to keep renewing, upgrade a version that lost support, or move to the cloud before the next deadline.

Prices and dates on this page were checked on October 18, 2026, on QuickBooks Online pricing, QuickBooks Enterprise pricing, Intuit's Desktop stop-sell article and its Desktop 2023 discontinuation policy.

Toolradar data: as of October 16, 2026, QuickBooks is listed as an alternative to 95 other tools, second among the 279 accounting tools Toolradar tracks. Its Simple Start entry price sits almost exactly on the category median of $37.50 across the 100 tools that publish one, so Online is a market-rate subscription, not a premium one (QuickBooks on Toolradar).

Can you still buy QuickBooks Desktop in 2026?

Only Enterprise, if you are a new US customer. Intuit's stop-sell article says Desktop Pro Plus, Premier Plus, Mac Plus and Desktop Enhanced Payroll stopped selling to new US subscribers on September 30, 2024, and that the decision applies to the US only. Enterprise is not affected, and new and existing Enterprise customers can still buy or renew.

Intuit's own Desktop page now reflects that. It no longer offers Pro or Premier and instead lists three paths: Desktop Enterprise, QuickBooks Online Advanced and Intuit Enterprise Suite. If a reseller still offers a "new" Pro Plus license to a US buyer, treat it with suspicion, because Intuit's own sales channel does not.

Existing Plus subscribers are in a better spot than the headlines suggest. Intuit says they can keep renewing after the stop-sell date and still receive security updates, product updates and support. The catch is that each Desktop version has its own end date, so renewing is not the same as staying supported forever.

What did QuickBooks Desktop 2023 lose on May 31, 2026?

Desktop 2023 was discontinued after May 31, 2026, and the list of what stopped is long enough to break a working office. Per Intuit's discontinuation policy, the 2023 versions no longer calculate payroll taxes, provide payroll forms or send payroll data. Online banking downloads, online payments and transfers stopped, along with credit card and check processing.

Live technical support and critical security updates ended too, as did email, eInvoice, Accountant Copy Transfer, multi-currency features and Shipping Manager access. A company still on 2023 is running unsupported accounting software with no bank feeds and no payroll tax updates, which is the worst position to file from.

Intuit's named upgrade paths are QuickBooks Desktop Plus 2024, Desktop Enterprise 24.0, or a move to Enterprise in general. If you are on 2023 today, upgrading to 2024 buys time on Desktop, while moving to Online ends the version treadmill.

What does each path cost a 5-person team?

Online is cheaper than Enterprise for most small teams, and the gap depends on how many users you need. Take five people who all need access, on list prices from the pages above.

Path Plan that fits 5 users First-year cost How we got it
QuickBooks Online Plus, up to 5 users $1,470 with the 3-month offer, $1,680 at list 3 months at half price plus 9 at $140, or 12 at $140
QuickBooks Online Advanced, if you need more than 5 users $4,080 at list 12 months at $340
Desktop Enterprise Gold From $2,210 Starting price; Intuit quotes the final price by user count

Two caveats change the math. Online's half-price offer is an alternative to the 30-day free trial, not an addition to it. Enterprise's figure is a "starting at" price with a custom quote by user count, so a five-user Gold license can come in above it.

Online wins on cost up to five users. Plus caps at five users, so a sixth person forces Advanced at $340 a month, and that is where Enterprise becomes a real comparison. Our QuickBooks Online pricing guide breaks down every tier and add-on.

How do features differ between Desktop and Online?

The two products split along where the work happens. Online runs in a browser and the mobile app, auto-matches bank transactions, connects to third-party apps, and adds Intuit's newer AI features such as automated bookkeeping and an AI chat in beta. Plus adds project profitability and inventory tracking, and Advanced adds workflow automation, batch invoices and expenses, and backup and restore.

Desktop Enterprise is the choice for inventory-heavy businesses. Intuit says it handles up to 1 million customers, vendors and inventory items, which it describes as 6x the list capacity of Desktop Pro or Premier, with up to 40 users working at the same time. Platinum adds Advanced Inventory, Advanced Pricing and bill and PO approval workflows, which manufacturers and wholesalers use daily.

The steelman for Desktop is speed and control over a large local file. The counterpoint is that cloud hosting on Enterprise costs extra, per the pricing page, so remote access on Desktop is a line item while on Online it is the product.

What happens to payroll on each path?

Payroll is where Desktop users get caught, because Desktop Enhanced Payroll stopped selling to new US subscribers on the same date as Pro Plus. Enterprise Gold and Platinum include Desktop Enhanced Payroll at up to $3 per employee per month on top of the license, and Diamond includes Assisted Payroll at $2.50 per employee per pay period.

On Online, payroll is a separate add-on chosen at checkout. Our QuickBooks Payroll pricing page covers those tiers, and anyone still on Desktop 2023 payroll should treat the May 31 cutoff as already passed.

Who should stay on Desktop, and who should move to Online?

Stay on Desktop if you already hold a Plus subscription on a supported version, your bookkeeper works from a local file, and nothing in your stack needs bank feeds from the cloud. Renew, keep the version current, and plan the move on your own schedule rather than at a deadline.

Buy Desktop Enterprise if you carry serious inventory, need more than 25 users, or want Advanced Inventory and approval workflows that Online Plus does not have. Get the custom quote in writing, because the starting price is only a floor.

Move to Online if you are a new business, a team of five or fewer, or anyone on Desktop 2023. Simple Start fits a solo owner, and Plus covers five users. If QuickBooks feels expensive at that point, compare cheaper QuickBooks alternatives, QuickBooks vs Xero, the Xero review and Zoho Books vs QuickBooks before you migrate twice.

A sole proprietor who only needs income and expense tracking may not need either; see is QuickBooks free, the QuickBooks Self-Employed review and our best free accounting software. Owners who would rather hand the books off entirely can compare online bookkeeping services.

How we compared Desktop and Online

We read QuickBooks Online pricing, QuickBooks Enterprise pricing, Intuit's Desktop page, the stop-sell help article (updated October 16, 2026) and the Desktop 2023 discontinuation policy on October 18, 2026. Team costs multiply the printed monthly prices by 12 months, before taxes and payroll; Enterprise uses the published starting price because Intuit quotes the rest. Louis Corneloup, founder of Dupple and Toolradar, wrote the verdict.

FAQ

QuickBooks Desktop vs Online: which should I choose in 2026?

A new US business should choose QuickBooks Online, starting at $38 a month on Simple Start, because Intuit no longer sells Desktop Pro Plus, Premier Plus or Mac Plus to new US subscribers. The exception is an inventory-heavy company that needs Desktop Enterprise, which Intuit still sells to new customers on annual plans. Existing Desktop Plus subscribers can keep renewing.

Is QuickBooks Desktop being discontinued?

Not as a product line. Intuit stopped new US sales of Pro Plus, Premier Plus, Mac Plus and Desktop Enhanced Payroll after September 30, 2024, but existing subscribers can renew and still get updates and support. Individual versions are retired on a schedule: Desktop 2023 lost payroll, bank feeds, support and security updates after May 31, 2026.

Can I still buy QuickBooks Desktop Pro in 2026?

Not as a new US subscriber. Intuit's Desktop page offers Desktop Enterprise, QuickBooks Online Advanced and Intuit Enterprise Suite instead. If you already have a Pro Plus subscription, you can renew it.

How much does QuickBooks Online cost compared with Desktop Enterprise?

QuickBooks Online lists Simple Start at $38, Essentials at $85, Plus at $140 and Advanced at $340 a month, with 50% off for 3 months or a 30-day trial. Desktop Enterprise starts at $2,210 a year on Gold, $2,717 on Platinum and $5,363 on Diamond, with a custom quote by user count. For five users, Online Plus costs $1,680 a year at list.

What should I do if I am still on QuickBooks Desktop 2023?

Upgrade or migrate now, because Desktop 2023 lost payroll tax updates, bank downloads, payment processing, live support and security updates after May 31, 2026. Intuit names Desktop Plus 2024 and Desktop Enterprise 24.0 as upgrade paths. Moving to QuickBooks Online removes the yearly version cutoffs altogether.

Does QuickBooks Online have as many users as Desktop Enterprise?

No. Online Advanced allows 25 users, while Desktop Enterprise Diamond goes up to 40. Online Plus stops at 5 users, so a growing team either jumps to Advanced or looks at Enterprise.
