Zoho Books vs QuickBooks (2026): Which Costs Less for Your Team?
For three users, Zoho Books Standard is $20/mo and QuickBooks Online Essentials is $85/mo. Every paid plan priced, plus where the cheaper one flips.

For three billable users on monthly billing, Zoho Books costs less. Zoho Books Standard is $20/mo ($240 a year), and QuickBooks Online Essentials, the lowest QuickBooks plan that covers three users, lists at $85/mo ($1,020 a year). Both prices were read on the vendors' US pricing pages on 10 October 2026.
The cheaper plan is not always the one that fits. Zoho Standard has no inventory, multi-currency or project profitability, and QuickBooks Essentials has no inventory or project tracking either. This page prices every paid plan on both sites, then walks through the team sizes where the cheapest plan that fits changes.
Toolradar data: the accounting ranking we updated in October 2026 evaluated 268 tools, and both products sit outside its top 10. The profiles behind this comparison are Zoho Books and QuickBooks.
Every plan on one table
Zoho Books has a free tier and five paid tiers, and QuickBooks Online has a free tier and four paid plans. The table lists the users each plan includes, because seat count removes most plans before price matters.
| Plan | Monthly list (USD) | Annual or promo price | Users included | Accountant access | Per year at list |
|---|---|---|---|---|---|
| Zoho Books Free | $0 | Free while financial-year revenue is $50,000 or less | 1 user | 1 accountant | $0 |
| Zoho Books Standard | $20 | $15/mo billed annually | 3 users | Not listed | $240 |
| Zoho Books Professional | $50 | $40/mo billed annually | 5 users | Not listed | $600 |
| Zoho Books Premium | $70 | $60/mo billed annually | 10 users | Not listed | $840 |
| Zoho Books Elite | $150 | $120/mo billed annually | 10 users | Not listed | $1,800 |
| Zoho Books Ultimate | $275 | $240/mo billed annually | 15 users | Not listed | $3,300 |
| QuickBooks Simple Start | $38 | $19/mo for 3 months | 1 user | 2 accountants | $456 |
| QuickBooks Essentials | $85 | $42.50/mo for 3 months | 3 users | 2 accountants | $1,020 |
| QuickBooks Plus | $140 | $70/mo for 3 months | 5 users | 2 accountants | $1,680 |
| QuickBooks Advanced | $340 | $170/mo for 3 months | 25 users | 3 accountants | $4,080 |
Prices are USD before tax, read on Zoho Books' US pricing page and QuickBooks Online's pricing page on 10 October 2026. The per-year column is our arithmetic: monthly list times twelve, with no promo. QuickBooks' 50% discount covers its first three months only.
Neither free tier covers a team. Zoho Free allows one user plus one accountant, and it stays free only while financial-year revenue is $50,000 or less. If a free ledger is the goal, the Wave review covers the other free option. QuickBooks Free allows two invoices a month and gives an accountant no access.
Three users: the scenario we priced
Three billable users is the largest headcount that both vendors' entry paid tiers cover without extra seats: Zoho Standard and QuickBooks Essentials. Picture an owner, a bookkeeper and a salesperson who sends invoices. The team needs a bank feed and an outside accountant, and nobody needs stock on the shelf.
On monthly billing, Zoho Standard costs $240 a year and Essentials costs $1,020, a gap of $780. Zoho's annual rate brings Standard down to $180, which widens the gap to $840. QuickBooks' three-month discount halves the first three payments, so Essentials costs $892.50 in its first year, and the first-year gap against Zoho's monthly price falls to $652.50.
Price goes to Zoho at three users, and the discount does not change that. The useful question is whether Standard's feature set covers the work.
What the Standard plan includes
Standard is the plan that makes Zoho cheap for this team. It adds bank feed connections to the free tier, along with progress invoicing, sales tax tracking, recurring expenses, transaction period locking, custom reports and API access. It also e-files 1099-MISC and 1099-NEC forms, which matters if the team pays contractors every year.
The caps are 5,000 invoices and 5,000 bills or expenses a year. For a three-person team that is a wide margin, but a shop that issues one invoice per payout from a payment processor should still count its volume. Zoho's FAQ prints the caps for each tier, so the number can be checked before you sign.
Standard's weakness is what it leaves out. Inventory, multi-currency and project profitability all start on Professional, which costs $50 a month for five users. That jump is $30 a month, or $360 a year. A team that sells stock or bills clients in another currency cannot stay on Standard.
Accountant access is the open item. Zoho's free plan includes one accountant seat, and the Standard row lists three users without naming an accountant. If an outside firm expects its own login, confirm the seat with Zoho before you buy Standard.
What the Essentials plan includes
Essentials is the cheapest QuickBooks plan with three billable users, and it offers two things Standard does not list. It includes access for two accountant firms, so the outside preparer can log in without taking a billable seat. It also supports multi-currency, which QuickBooks lists on Essentials, Plus and Advanced, and not on Simple Start.
Multi-currency is the decision point. Intuit's help article says the setting cannot be turned off once it is on, and that QuickBooks Bill Pay and QuickBooks Payments are not compatible with it. A team that invoices abroad and pays vendors through Bill Pay has to pick one of the two.
Essentials has no inventory and no project profitability. Both start on Plus, the next tier up. Bill pay with free ACH is included from Simple Start upward, but QuickBooks charges $0.50 for each standard ACH transaction past the monthly allotment, so a team that pays many vendors should count those charges.
Pick Essentials when the accountant needs a seat, bill pay matters, and the books stay in US dollars. Pick it for multi-currency only if you can give up Bill Pay and QuickBooks Payments, because that switch does not reverse.
Where the cheaper plan changes
Headcount changes the answer, and the two products jump at different points.
Four users. Zoho's extra seat costs $3 a month ($2.50 billed annually), so Standard becomes $23 a month for four people. Essentials stops at three billable users, so a fourth person moves a QuickBooks team up to Plus at $140 a month. That is a $117 monthly gap, or $1,404 a year at list.
Five users with inventory. Zoho Professional is $50 a month for five users and includes inventory, multi-currency and project profitability. QuickBooks Plus is $140 a month for five users and includes inventory and project profitability. Professional costs $90 a month less, or $1,080 a year, and both products list multi-currency at that size.
Six to ten users. QuickBooks has no plan between Plus, capped at five billable users, and Advanced, which covers 25. A team of six to ten pays $340 a month for Advanced at list. Zoho Premium covers ten users at $70 a month, a gap of $270 a month, or $3,240 a year.
Eleven to fifteen users. Zoho Ultimate lists 15 users at $275 a month, still $65 under QuickBooks Advanced at $340. The Zoho tiers on this page stop at 15 users, so this table does not price a larger Zoho team.
Up to 15 users, Zoho lists lower at every headcount that both products cover on this table. QuickBooks' case rests on accountant access and its own bill pay and payments stack, not on the sticker.
Hidden costs on both sides
On the Zoho side, each extra user costs $3 a month ($2.50 billed annually). Zoho BillPay is a separate add-on, priced on Zoho's add-on list at $59 to $69 a month, and add-ons other than document autoscans are not supported on the free plan. The free plan also caps invoices and expenses at 1,000 a year.
On the QuickBooks side, the 50% discount lasts three months, after which Essentials returns to its list price. A $0.50 ACH charge applies past the monthly allotment. Turning multi-currency on cannot be undone, and it is incompatible with Bill Pay and QuickBooks Payments. Essentials also leaves out inventory and project tracking, which start on Plus.
Who should buy which
- Zoho Books Standard, $20 a month: one to three people who need bank feeds, invoices and 1099 filings, with no stock and no foreign-currency invoices.
- Zoho Books Professional, $50 a month: up to five people who sell stock, bill projects or invoice in another currency.
- Zoho Books Premium, $70 a month: six to ten people, the range where QuickBooks would force Advanced.
- QuickBooks Essentials: three people who need an accountant login that takes no billable seat, plus bill pay, with US-dollar books.
- QuickBooks Plus, $140 a month: up to five people who need QuickBooks' own ledger with inventory and project profitability.

How we compared
Prices come from Zoho Books' US pricing page and QuickBooks Online's pricing page, both read on 10 October 2026, plus Intuit's multi-currency help article the same day. Dupple did not test either product, so every feature above comes from the vendor pages. The invoice caps and the $50,000 revenue threshold come from Zoho's own FAQ.
Per-year totals are list price times twelve. The promo figure is three months at half price, then nine months at list. Figures exclude sales tax. The comparison does not price any Zoho team above 15 users, and it does not price QuickBooks add-ons, because the pricing page prints none.

FAQ
Is Zoho Books cheaper than QuickBooks Online for three users?
Yes. On monthly billing, Zoho Books Standard lists at $20 a month for three users, or $240 a year. QuickBooks Online Essentials lists at $85 a month for three users, or $1,020 a year, and its three-month discount brings year one to $892.50. Standard does not include inventory, multi-currency or project profitability.
Does Zoho Books have a free plan that works for a team?
Only for one user. The free plan allows one user and one accountant, and it caps invoices at 1,000 a year. It stays free while financial-year revenue is $50,000 or less. Bank feed connections start on Standard, $20 a month, the cheapest Zoho tier that fits three people.
How much does QuickBooks Online Essentials cost in 2026?
As read on 10 October 2026, Essentials lists at $85 a month and includes three billable users and access for two accountant firms. A 50% discount drops it to $42.50 a month for the first three months only. Inventory tracking and project profitability start on Plus at $140 a month.
Which one has multi-currency, and what does it cost?
Both do. Zoho Books lists multi-currency transactions on Professional at $50 a month for five users, and QuickBooks Online lists multi-currency on Essentials at $85 a month for three. Once QuickBooks multi-currency is on, it cannot be turned off, and it is incompatible with Bill Pay and QuickBooks Payments. The Zoho pricing page does not address bill pay in another currency.
Can QuickBooks Online grow past five users without a big jump?
No. Plus stops at five billable users, and the next QuickBooks plan is Advanced at $340 a month for up to 25 users. A sixth person costs $200 a month more than Plus at list. Zoho Premium covers ten users at $70 a month, so a team of six to ten pays $270 a month less than it would on QuickBooks Advanced at list.
