What each plan costs by billable user
The table counts the owner as one user. QuickBooks sells that user count in tiers. Simple Start covers one billable user, Essentials covers three, Plus covers five and Advanced covers 25. FreshBooks charges the plan price once and adds $11/mo for each extra login.

FreshBooks Plus beats QuickBooks at every headcount from two users up. At five users, the gap is $636 a year: $1,044 on FreshBooks Plus against $1,680 on QuickBooks Plus. The sixth user is where QuickBooks gets expensive, because the next tier is Advanced at $340/mo.
FreshBooks Premium is the exception that matters. It costs $81/mo for two users, which is $4 less than QuickBooks Essentials, but at three users it is $7 more ($92 against $85). Premium is the lowest FreshBooks tier that lists accounts payable, so a firm that enters vendor bills has to pay for it. Choose on the bill workflow first and on the sticker second.
One owner, with or without an accountant
A solo owner who hands the books to an accountant is the case where QuickBooks wins. Simple Start costs $456 a year at list and includes two accountant logins. FreshBooks Lite costs $276 a year, but it has no accountant access and no bank reconciliation. An accountant who has to close the file needs Plus, at $516 a year. That makes FreshBooks $60 a year more expensive at list.
Without an accountant, the cheapest option in this comparison is the QuickBooks Free plan at $0, which caps invoices at two a month unless you enable QuickBooks Payments. A solo freelancer who needs more invoices but no accountant login can move up to FreshBooks Lite at $23/mo, which covers five billable clients and leaves out bank reconciliation.
The promos narrow the accountant gap without flipping it. QuickBooks prints 50% off for three months on Simple Start, which is $19/mo for the first quarter and $38/mo after that. Year one comes to $399. FreshBooks Plus takes 80% off for three months at $8.60/mo, and year one comes to $412.80. QuickBooks stays $13.80 cheaper in year one, and it stays $60 a year cheaper after that.
What the features change
The sticker is only part of the decision. QuickBooks Plus is the first QuickBooks tier that lists inventory and project profitability, and it caps classes and locations at 40. Essentials adds time tracking for employees, which means employee hours can flow into customer invoices. Advanced removes the class cap, raises the user limit to 25 and allows three accountant logins.
FreshBooks Plus adds bank reconciliation, double-entry reports, accountant access, unlimited proposals and client retainers on top of Lite. Premium adds accounts payable and project profitability. Select has no published price, and it includes two team member accounts before the per-login fee applies. The FreshBooks pricing page lists no inventory or multicurrency row for any plan. Payroll sits outside both plan prices. FreshBooks prices its payroll add-on at $40/mo plus $6/mo per user, and it lists Advanced Payments at $20/mo. QuickBooks shows payroll only as an optional step at checkout, with no price on the plan page. A payroll run changes the total for either product, so put it in the budget before you choose.
Free plans, trials and the category
QuickBooks Online is the only one of the two with a $0 plan. The Free plan lists at $0/mo for one user, with two invoices a month (unlimited if you qualify for and enable QuickBooks Payments), one bank connection and no accountant access. FreshBooks has no free plan on its pricing page. It offers a 30-day free trial and a 30-day money-back guarantee instead.

Promos, payments and what to budget
Both vendors discount the first months, and most of their offers run for a quarter. QuickBooks prints 50% off for three months on each paid plan, with no end date on the page. FreshBooks Plus and Premium are 80% off for three months. FreshBooks Lite is the exception, at $1/mo for the first year under its Solopreneur offer. Budget the list price, and treat the promo as a bonus if it applies at checkout.
Payment fees are where the pages differ most. FreshBooks prints 2.9% plus $0.30 per card transaction and a 1% fee on bank transfers. QuickBooks includes bill pay with free ACH, then charges $0.50 per standard ACH transaction once you pass a monthly allotment, and it says that allotment may vary. The QuickBooks pricing page prints no card rate and links to a payments cost calculator instead. A card-heavy business should run that calculator before comparing the two.
Gotchas that change the total
Three details move the total more than the headline price does. First, FreshBooks counts archived clients against the Lite cap of 5 and the Plus cap of 50, so archiving a finished job does not free a slot. The FreshBooks FAQ says deleting a client does. Second, the QuickBooks user limit is a tier jump rather than a seat fee. The sixth billable user means moving from Plus at $140/mo to Advanced at $340/mo, a $200 monthly jump, or $2,400 a year. Third, QuickBooks Plus caps classes and locations at 40, so a business that needs more of either must move to Advanced before its headcount does.
The FreshBooks cost that grows quietly is the team login. Five users on Premium cost $114/mo before add-ons. FreshBooks Advanced Payments adds $20/mo, and payroll adds $40/mo plus $6/mo per user, on top of that. That is $1,368 a year before the add-ons, against $1,044 for the same five people on FreshBooks Plus. Budget the logins as a line item, not as a rounding error.

Who should buy which
Buy QuickBooks Online Simple Start when one person runs the books and an outside accountant needs access. It is $60 a year cheaper than FreshBooks Plus at list, and the Free plan covers a sole trader who does not need an accountant at all. Buy FreshBooks Plus for a team of two or more that posts transactions and wants to avoid QuickBooks tier jumps. The per-login fee is small, and Plus includes the reconciliation and accountant access a bookkeeper expects. Move to Premium only when vendor bills or project profitability are the reason you buy, because it is the lowest FreshBooks tier that carries them.
Buy QuickBooks Plus when inventory is the requirement, since FreshBooks does not list it on any plan. Choose QuickBooks Essentials over Premium when three people need logins and the bill work is light, because it costs $7/mo less at three users.
