A receipt scanner app is software that photographs or imports a receipt, reads it with optical character recognition (OCR), and turns it into an expense record with the date, vendor, amount and category. Some apps stop there. Others add mileage logs, accounting sync or a place to keep the files for years.

Pick by what happens after the scan.

A cheap capture app is enough when the receipt only supports a tax deduction, but if an accountant posts it to the books, sync matters more than the scan.

Why it matters

Scan caps are where the bargains hide. Zoho Expense's free plan reads 20 receipts per user a month, which a freelancer who buys client lunches and software would reach in a week. Shoeboxed Starter allows 50 digital scans and charges per scan beyond that, cheap until a busy month arrives.

Accounting sync is the second trap.

Shoeboxed reserves its QuickBooks Online and Xero integrations for Pro, roughly three times the entry price, while Expensify includes them on base Collect. If your bookkeeper wants the data in the ledger, read the sync line before the headline price.

Expensify Collect costs $60 a year, Zoho Expense Standard $48, Wave's receipts-only plan $96, and Shoeboxed Starter $108 on monthly billing or $97 on the yearly plan.
