Most freelancers shop for invoicing software by the monthly price and lose more to payment fees than to the subscription. On $72,000 of invoices a year, the card and bank fees come to roughly $1,400 to $1,600 on the tools we could price, while the subscription is $0 to $348.

The cheapest app is the one that takes the smallest cut of each payment, not the one with the lowest plan.

We then priced a fixed scenario on the vendors' own pages: a freelance designer billing $6,000 a month across 8 invoices, half paid by card and half by bank transfer. The yearly total runs from $1,433 on Wave to $1,944 on HoneyBook, and every rate was read on the vendor's page in October 2026.

What it is

Invoicing software for freelancers is a tool that creates and sends invoices, takes card or bank payment through a link, and chases late clients with reminders. Some also track time, send estimates or keep your books.

Pure invoicing apps stay light, while accounting platforms such as Xero and QuickBooks handle invoicing as one feature of a ledger.

The question is whether you need a ledger yet. A sole proprietor with a handful of clients often does not, and paying for one early is the most common overspend.

Why it matters

The payment fee is a tax on every invoice. On our scenario, card fees alone cost between about $1,056 and $1,100 a year on the tools that publish them, and the bank-transfer fee swings from $360 to $540 depending on whether the rate is 1% or 1.5%.

That gap is larger than a year of Wave Pro.

Billing foreign clients adds a second cost. PayPal publishes a 1.50% surcharge on international invoice payments, so a client in Berlin costs more than a client in Boston. If you invoice abroad, check that line before anything else.

Prices were checked on each vendor's own pricing pages in October 2026: Wave pricing and Wave payments, PayPal fees, FreshBooks pricing, Zoho Invoice pricing, Invoice Ninja, HoneyBook pricing, Bonsai pricing, QuickBooks pricing and Xero pricing.

Scenario: $6,000 a month in 8 invoices of $750, half by card and half by bank transfer, $72,000 a year, on each tool's cheapest plan that allows it. Totals are subscription plus fees: Wave Starter $1,432.80, PayPal $1,459.92 (without its optional subscription), FreshBooks Lite $1,694.40 and HoneyBook Starter $1,944.

Wave Pro would cost $1,594 because the $190 plan outweighs the fixed-fee waiver at this volume. Free apps are the answer to the free-invoice-app question: Wave Starter, Zoho Invoice (500 invoices a year) and Invoice Ninja (5 clients).

Zoho and Invoice Ninja charge no card rate of their own and depend on the gateway, while Bonsai, QuickBooks and Xero do not list card or bank rates on their pricing pages, so none of those four is priced in the scenario.

Methodology: we compared vendor pricing pages, docs and the Toolradar category data, we did not hands-on test the apps, and ranking follows computed yearly cost first, then free-plan limits and freelancer features. Re-checked whenever a vendor changes its fees.

Mistakes to avoid
×Comparing plan prices and ignoring the payment cut. In our scenario the fees run past $1,000 a year while the subscription tops out at $348, so a free app with a high bank-transfer rate can cost more than a paid one.
×Buying accounting software before you need a ledger. QuickBooks and Xero are priced for books, and a sole proprietor with a few clients is paying for reports nobody reads.
×Treating a free plan as free forever. Wave Starter lacks automatic reminders, and Invoice Ninja's free tier stops at 5 clients, so check the cap against your client list.
×Forgetting the international surcharge. A client paying from abroad can add a percentage on top of the domestic rate, so price a foreign invoice before you quote.
Expert tips
→Push clients toward bank transfer. Wave and FreshBooks charge their lowest rate for it, while the same $750 invoice by card costs about $22 on either, so a note on the invoice saves real money.
→Start on the free tier and move when a limit bites. Wave, Zoho Invoice and Invoice Ninja cost nothing to try, and your invoices export if you leave.
→If you bill by the hour, test FreshBooks Lite on its first-year promo before paying for Bonsai or HoneyBook.
→Ask your accountant which ledger they prefer before choosing QuickBooks or Xero, since handover friction is the real cost.

Start with Wave if cost is the question. It is free, charges the lowest bank-transfer rate we found, and comes out cheapest in our scenario.
