Wave Starter is the lower-cost starting point for a business willing to enter transactions itself; Xero is the stronger shortlist candidate when bank reconciliation, reporting and a larger ledger matter more than a zero-dollar subscription. Wave's free plan allows unlimited invoices, while Xero Early costs $27 a month at its regular US price and limits invoices and bills. Wave Pro adds automatic bank imports for $19 a month or $190 a year for new subscriptions.

These are different plan structures, not matched tiers. Xero's US plan comparison lists a promotional discount for eligible new customers as well as the regular monthly amounts. Wave's price page lists Starter and Pro, including separate fees for optional payments. The regular prices are more useful for planning beyond an offer's first months.

Start with the work, then compare the subscription

An invoice-heavy solo business may find a surprising limit in the cheapest Xero plan. Early includes sending 20 invoices and entering five bills. Count the invoices and supplier bills a busy month creates before choosing it. Recurring charges also need a place in the workflow. Xero Growing removes the named entry limits from the feature list and adds automated bill entry and transaction reconciliation. Confirm any limits and add-on conditions with the vendor.

Wave Starter lists unlimited invoices and bills for no subscription fee. That does not make every task automatic. The vendor places automatic bank imports and automated transaction categorization on Pro. If someone must download or enter and categorize transactions by hand, the time spent on that work belongs in the comparison alongside the bill. Our Wave pricing guide explains its tiers, while the Xero pricing guide covers the other side.

Start by writing down the last month's real transaction count, the number of outgoing invoices and the bills needing entry. Ask the person responsible for the books what data they need at close and which software they can work with. A low introductory cost is less attractive if it forces a process change the bookkeeper cannot accommodate.

How much would each plan cost?

At the regular monthly list price, twelve months of Wave Starter has no subscription charge. Wave Pro would cost $228 if paid month by month for twelve months, or $190 for its published annual subscription. Xero Early would cost $324 over twelve monthly payments at its regular $27 price; Growing would cost $708 at $59 a month. These are subscription comparisons before taxes, processing fees, optional services and promotional discounts, not individualized quotes.

Wave's pricing page says the Pro subscription is for one business profile. A second business profile requiring Pro can therefore change the total. The free Starter plan is still an option for a business whose manual work is manageable. Check the plan for each entity rather than assuming one subscription covers everything in an account.

Xero's pricing page displayed an introductory promotion when checked; it has eligibility and timing conditions, so this comparison does not assume everyone receives it. If a promotion is important to your budget, record its duration and the renewal amount at checkout. A lower initial invoice does not change the amount due after the offer ends. Invoices and customer payments are separate costs

Wave's unlimited invoice allowance does not mean payments are free. Its price page lists card processing charges when online payments are enabled. The fee schedule differs by card and plan, and Pro's advertised lower per-transaction fixed fee applies only to the first ten cumulative transactions in a monthly subscription period; later transactions have a different fixed component. Check the exact current terms and eligibility before estimating payment costs.

Xero also lists accepting online invoice payments as a plan feature, with conditions. That statement is not a promise that the payment provider charges nothing. Ask which providers are available in your location, how bank transfers and card payments are priced, and whether a transaction needs separate reconciliation in the ledger.

Use a sample month to compare payment costs: count card payments, note their size and distinguish them from bank payments. A flat fee can matter more when invoices are small; a percentage fee matters more when individual payments are large. Do not use an advertised transaction price without checking exceptions, card type and the cost of any third-party service.

Bank feeds, receipts and reconciliation

The decision between entering transactions and importing them is not just a checkbox. A bank connection still needs review: categorize a sample of expenses, match transfers and check what happens when a feed disconnects. Xero lists reconciliation on Early. Wave lists automatic bank transaction imports, automated categorization and receipt capture on Pro. Starter offers basic invoicing and bookkeeping, but a user expecting automatic imports should budget for Pro.

Receipt capture and a bank feed solve different problems. A feed can bring in a bank transaction; a receipt helps document the purchase behind it. Ask whether the person submitting expenses can get the documentation into the account and whether the bookkeeper can find it later. Evaluate the available upload methods and plan limits on the provider's current page, rather than assuming that a paid plan eliminates review.

For another angle on low-cost systems, compare QuickBooks and Wave or FreshBooks and Wave. These are different buying questions: one emphasizes a broader ledger and the other a service business's client workflow.

When a more capable plan matters

Xero Established lists multiple currencies and tracking project time and costs. That is a reason to inspect the top tier if the business invoices across currencies or needs to tie work to projects. Those capabilities are not a reason for every single-person business to pay for Established. Write down the actual transaction, currency and project reports needed and compare them with the plan details before paying for more.

Wave may fit a business that wants invoices, estimates, bills and records without paying for a more extensive plan. Pro's imports and receipt capture can reduce manual steps, but the feature table is not a substitute for checking whether the chosen workflow covers a particular reporting or integration requirement. Ask the vendor or accountant about any requirement that determines your choice.

Payroll is also a separate question. Xero lists payroll powered by Gusto as an optional add-on, so don't assume it is included in the ledger subscription. If a business pays staff, request a full quote that includes the payroll service and any per-person charges. Our Xero review and Wave review give a broader view, and FreshBooks vs Xero is relevant to client service firms.

A sensible way to choose

Choose Wave Starter if you need basic invoicing and bookkeeping, prefer a free subscription, and have a workable way to enter and review transactions. Consider Pro when automatic bank imports and receipts are worth the recurring fee. The software organizes records, but the business remains responsible for their accuracy.

Shortlist Xero when reconciliation, plan-level reporting, the accountant's workflow or features in Growing and Established justify the subscription. Early's invoice and bill allowances are the first constraint to check. A business that exceeds either should price the appropriate plan rather than compare Wave Starter against a plan it cannot use.

Before committing, map a month of invoices, bills, expenses and bank activity against each vendor's features. Ask about exporting records and the integrations your accountant uses. The Xero vs Zoho Books comparison and the free accounting software roundup add alternatives without assuming one product fits every business.

How we compared the plans

We compared the US plan and pricing pages linked above on October 28, 2026, using their published inclusions and terms. Annual monthly-payment scenarios multiply the regular monthly rate by twelve; the annual Wave subscription uses its published price. Toolradar supplied the dated category count. The comparison does not rely on hands-on product testing.
