QuickBooks vs Wave (2026): Which Accounting Software Is Cheaper?
Wave Pro is $19/mo with a bank feed. QuickBooks Simple Start is $38/mo. See where Wave stays cheaper in 2026, and which jobs still need QuickBooks.

For a one-person US shop that wants a bank feed and an accountant in the file, Wave Pro undercuts QuickBooks Online: Pro is $19/mo, while Simple Start, the first QuickBooks plan with both of those, is $38/mo. The gap reverses when the work needs inventory, project profitability or multi-currency, none of which Wave's pricing page lists. Prices checked on 18 October 2026.
An accounting tool, in this matchup, is the ledger that records income and expenses, sends invoices and produces a profit and loss. Payroll and card fees sit on top of that subscription, and they can erase a cheap software price.
Toolradar data: in the 16 October 2026 snapshot of 279 accounting tools, 95 other tools list QuickBooks as an alternative, second only to Odoo, while Wave is listed by 35 and ties FreshBooks for 13th. Only 26% of those 279 tools offer a free plan, and Wave is one of them. Among the 100 tools with a recorded entry price, the median is $37.50/mo, so Simple Start sits just above the middle of the market and Wave Pro sits well below it. The figures come from the accounting statistics, the ranking is the accounting comparison, and the profiles are QuickBooks and Wave.

Every paid QuickBooks plan on that table also shows a price at half the list rate for the first three months. The employee fee on a payroll bundle, covered later, is not cut by that offer. Figures are before sales tax. Sources: Wave's pricing page and QuickBooks Online's pricing page, both read on 18 October 2026.
How much does one user pay for a bank feed?
Wave wins on the software bill for this buyer. The person in the scenario is an owner who invoices clients, wants transactions to land without typing, and needs an outside accountant to open the file. Nobody is tracking stock.
Wave Pro is the plan that turns the bank connection on. Starter keeps every bank line as a manual entry. Pro also adds automatic merging and categorizing, unlimited receipt capture, late-payment reminders and the admin, editor and viewer roles an accountant uses. The connection runs through Plaid, and Wave says it cannot promise every bank will connect, so the account should be checked before a year is prepaid.
Simple Start is the matching QuickBooks plan: one user, two accountant seats, automated bank feeds, receipt capture and bill pay. A year of it at list is $456. Taking the three-month half-price offer, then nine months at list, comes to $399 in year one. A year of Pro paid upfront is $190, equal to five months of Simple Start at list, and that first-year QuickBooks total still sits above Pro.
QuickBooks' case at this size is the accountant seat that does not consume the one user, plus bill pay and the app directory. Pro's case is the price. If the only question is the subscription, Pro is the buy.

Is either free plan enough to run a business?
Wave wins again, and the two free plans are not the same product.
Wave Starter has no subscription fee, and it does not expire. It includes unlimited estimates, invoices, bills and bookkeeping records, a mobile app for invoicing, and reports such as profit and loss. What it withholds is the bank feed, extra users and live chat. Chat and email support, available Monday to Friday from 9 AM to 4:45 PM Eastern, require an add-on on Starter and are included on Pro. Receipt capture is a separate add-on on Starter, at $8/mo or $72/yr, and Pro includes it. An accountant from another firm does not get a login on Starter. The invited roles there are a payroll manager or a Block Advisors tax pro.
QuickBooks Free is a capped file. The QuickBooks Free page allows one user, two invoices a month, one estimate a month, two receipt captures and five mileage trips a month, one connected bank and no accountant access. The invoice cap lifts only for a business that qualifies for and turns on QuickBooks Payments. Mobile app access and third-party integrations are not available on Free, while the paid plans mark both on. A shop that sends three invoices a month without QuickBooks Payments is already off Free. Our is QuickBooks free note walks the caps in more detail, and the free accounting software roundup is the wider shelf if Starter is the point of the search.
Starter is a real ledger you type into. QuickBooks Free cannot send a third invoice in the same month unless QuickBooks Payments is on. Neither one imports a busy bank account and hands it to an outside firm.
What happens at three users, then at four?
Wave wins on price at every headcount the QuickBooks table covers, until a feature QuickBooks gates by plan becomes the reason you buy.
Essentials is the first QuickBooks plan with three users, at $85/mo, which is $1,020 a year at list. The half-price window brings year one to $892.50. Pro does not gain a new price at three people. Wave says the Pro fee is per business, not per owner, and the pricing grid prints no per-user dollar amount. On Starter, invited people can only be a payroll manager or a Block Advisors tax pro; Pro adds the admin, editor and viewer roles. Because the fee is per business, a second company needs its own Pro subscription, while a second person inside the same company does not change the printed price.
The expensive step is the fourth person. Essentials stops at three users, so a fourth moves QuickBooks to Plus at $140/mo even when nobody needs inventory. Plus covers five users. There is no QuickBooks plan between five users and Advanced, so a sixth person pays $340/mo for up to 25 users and a third accountant seat. Pro's printed price does not step up at those headcounts.
That seat math is why a four-person service firm overpays if it stays on QuickBooks only out of habit. Plus is $1,680 a year at list before any payroll. The QuickBooks Online pricing page breaks the same ladder down on its own, and cheaper QuickBooks alternatives prices a five-user inventory scenario against other ledgers.
Who has inventory, projects and multi-currency?
QuickBooks wins the moment the books leave a simple service business.
Inventory tracking, purchase orders and project profitability are marked on Plus and Advanced, and off on Simple Start and Essentials. Project profitability is labeled Basic on Plus and Enhanced on Advanced. Multi-currency is marked on from Essentials upward, and off on Simple Start. Class and location tracking starts on Plus, capped at 40, and is unlimited on Advanced. Wave's pricing page and its accounting page do not list inventory, purchase orders, project profitability or multi-currency. Wave does say the books are double-entry, that Pro includes unlimited bank and credit card connections, and that a QuickBooks file can be imported.
A retailer who needs units on the shelf is shopping Plus, not a cheaper Wave tier that lacks the feature. A consultant who invoices in a second currency is shopping Essentials at minimum, because Simple Start will not do it. Those buyers should ignore the $19 comparison. The QuickBooks vs Xero and Zoho Books vs QuickBooks pages are the matchups once Wave is out of the running, and the Xero review and Zoho Books review cover each product alone.
Intuit's multicurrency article says the feature is not available on Simple Start. Once it is on, it cannot be turned off, and the home currency can no longer be changed. QuickBooks Bill Pay and QuickBooks Payments are not compatible with it, and turning it on inactivates the cash flow planner. A firm that pays vendors through Bill Pay and also invoices abroad has to choose one path. Bill pay itself is marked on from Simple Start, with an overage of $0.50 per standard ACH transaction past the monthly allotment. The page does not print a single allotment size.
How much do card fees and payroll add?
Wave wins the five-employee payroll total at the prices both vendors print, and the card-fee question is only half visible.
Wave's payments page charges 2.9% plus $0.60 on Visa, Mastercard and Discover for Starter, and 3.4% plus $0.60 on American Express. Discover processing is limited to US customers. Pro waives the fixed fee on the first 10 card transactions in a monthly period, then the $0.60 returns. Bank payments (ACH or EFT) are 1% on both plans, with a $1 minimum. Payments need approval, and there is no monthly payments subscription. QuickBooks' accounting pricing page does not print a card rate next to the plans. It does print the bill-pay ACH overage above. A card-heavy shop should price QuickBooks Payments separately before treating the software gap as the whole cost. The FreshBooks vs Wave piece runs a card-fee crossover against a different ledger.
Payroll is a clearer dollar gap, and the products are bundles on the QuickBooks side. Wave Payroll for US customers who signed up after 2 April 2025 is a $40 base plus $6 per active employee and $6 per independent contractor paid. Direct deposits are unlimited and free. Wave pays and files payroll taxes with the state and the IRS and says that service excludes 1099 filings, while the product still generates 1099-NEC forms for you to file.
QuickBooks sells payroll on its payroll pricing page as Workforce bundles that already include an accounting plan. Payroll plus Simple Start lists at $88/mo plus $7 per employee, and the card shows half of that base for three months while the $7 stays. Payroll plus Essentials lists at $135/mo plus $7 per employee. Premium plus Plus lists at $228/mo plus $13 per employee. The Simple Start bundle includes next-day direct deposit and 1099 e-file. Same-day direct deposit starts on the Essentials bundle.
Five employees, no contractors, at list: Wave Payroll is $70, and Pro plus that line is $89/mo. Payroll plus Simple Start is $123/mo. Over twelve months that is $1,068 against $1,476, a gap of $408, before anyone counts the three-month cut to the QuickBooks base. The QuickBooks bundle includes the ledger. The Wave total includes Pro because the bank feed lives there. Starter plus payroll would be cheaper still, and it would put the bank lines back on manual entry. Our QuickBooks payroll pricing page is the deeper payroll read. Intuit also sells QuickBooks Solopreneur as a separate product, priced on its own in the Solopreneur review.
Two Wave extras sit outside both of those totals. Receipt capture on Starter is the $8 add-on already noted, and it is inside Pro. Wave Advisors, the bookkeeping service, starts at $149/mo and the card says mobile receipts are not included even though the service lists Pro features. That is a different purchase from the software.
Who should pick which
- Wave Starter fits an owner who can type bank lines, sends more than two invoices a month, and does not need an outside accountant's login. Budget the receipt add-on if the phone is the filing cabinet.
- Wave Pro fits a one-business service firm that wants the bank feed and an accountant role, with or without a handful of users, and does not carry stock or foreign-currency invoices.
- QuickBooks Simple Start fits a one-user file where the accountant must have a seat, bill pay matters, and the books stay in one currency. It is the wrong place to save money against Pro.
- QuickBooks Essentials fits three users, or anyone who must turn on multi-currency and can live without inventory.
- QuickBooks Plus fits inventory, project profitability, or a fourth or fifth user. Below that headcount, Plus is a feature buy, not a seat buy.
- QuickBooks Advanced fits a sixth user through 25, custom permissions, and the heavier reporting and workflow tools marked only on that row.
If the shortlist is still three names, read QuickBooks vs FreshBooks and the FreshBooks review. A one-owner price hunt across more than these two sits in cheapest accounting software for a small business. The product view of Wave, beyond this price cut, is the Wave review, and every Wave plan and add-on is priced on its own in Wave pricing.
How we checked
We read Wave's pricing, accounting, payments and payroll pages, QuickBooks Online's pricing page, the Workforce payroll pricing page, and Intuit's multicurrency help article, on 18 October 2026, plus the QuickBooks Free plan page. Plan limits come from those pages' plan cards and comparison tables. The category figures come from the Toolradar accounting snapshot of 16 October 2026. Per-year totals and the five-employee sums are our arithmetic on the list prices: monthly price times 12, or base plus the per-person fee times five. The half-price QuickBooks window is three months, then list. Sales tax is excluded. We did not run either product.
Finpresso data: the audience file refreshed October 18, 2026 shows 29,000+ subscribers on this list. Louis Corneloup, founder of Toolradar and Dupple, wrote the comparison. How a printed price is handled is on how we rate, corrections go through the editorial policy, and the author note is on about.
FAQ
Is Wave cheaper than QuickBooks in 2026?
Yes for a service business that does not need inventory or multi-currency. Pro is $19/mo, or $190 for the year upfront, against $38/mo for Simple Start and $85/mo once you need three users. Plus, at $140/mo, is the QuickBooks plan that adds inventory, and it is also the plan a fourth user is forced onto. Payroll is a separate bill from the ledger.
Does Wave Starter include a bank feed?
No. Starter is manual entry. Automatic import, merging and categorizing start on Pro, and they depend on Plaid supporting the bank. QuickBooks Free connects one bank but caps the file at two invoices a month unless QuickBooks Payments is on, so it is not a like-for-like substitute for Starter.
How much does QuickBooks Online Simple Start cost?
As priced on 18 October 2026, Simple Start lists at $38/mo for one user and two accountant seats. The page shows half of that for three months. A full year at list is $456, and year one with the intro offer is $399. Inventory and multi-currency are not on this plan.
Which one handles inventory and foreign currency?
QuickBooks. Inventory and project profitability start on Plus. Multi-currency starts on Essentials. Wave's pricing and accounting pages do not list those three. A product business, or a firm that invoices in a second currency, should not pick Wave to save the subscription.
How much is payroll for five employees on each?
Wave Payroll is $40 plus $6 for each of five employees, $70, and Pro plus that payroll is $89/mo. QuickBooks Payroll plus Simple Start is $88/mo plus $7 per employee, $123/mo for five, and that bundle already includes the ledger, next-day direct deposit and 1099 e-file. Wave's tax filing excludes 1099s. Contractors add another $6 each on Wave for the months you pay them.
