FreshBooks vs Xero (2026): Which Costs Less for a Small Business?
FreshBooks vs Xero in 2026: three logins cost $65/mo on Plus and $59/mo on Growing. Every plan is priced, including the client cap and Early's invoice limit.

Xero costs less than FreshBooks once three people need their own logins on the books. FreshBooks Plus lists at $43/mo and charges $11/mo for each extra team login, so an owner and two staff come to $65/mo. Xero Growing lists at $59/mo with unlimited general users, which is $6/mo less at that headcount, or $708 a year against $780.
Those list prices were read on 18 October 2026, and the cheaper name flips when the firm is one person or when monthly volume is too small for Growing. A solo owner who sends more than 20 invoices a month pays less on Plus than on Growing, because the extra logins that make Xero win never show up. A solo owner who stays inside that invoice cap, and inside five bills a month, pays less on Xero Early and still gets bank reconciliation, which FreshBooks holds back until Plus. Plan-by-plan detail for each product sits on our FreshBooks pricing and Xero pricing pages.
Toolradar data: Toolradar tracks 279 accounting tools as of 17 October 2026, and 26% of them are free, freemium, or open source. Neither ledger sits in that free share, so a firm that wants a permanent free file should look elsewhere. The count is on the accounting ranking, and the profiles behind this comparison are FreshBooks and Xero.
What each plan costs
FreshBooks prices the plan by how many clients you bill, then adds a fee for staff who log in, so the client list and the team are billed apart. Xero prices the plan by invoice volume and features, and the user count does not move the subscription, so compare caps once three people need logins.
| Plan | Monthly list | Intro rate on the page | Yearly list | Binding limit |
|---|---|---|---|---|
| FreshBooks Lite | $23/mo | $4.60/mo for 4 months | $248.40 | 5 billable clients, no bank reconciliation |
| FreshBooks Plus | $43/mo | $8.60/mo for 4 months | $464.40 | 50 billable clients |
| FreshBooks Premium | $70/mo | $14/mo for 4 months | $756 | Unlimited clients; vendor bills start here |
| FreshBooks Select | No published price | Quote only | No published price | 2 team logins included, then the per-person fee |
| Xero Early | $27/mo | $5.40/mo for 3 months | Monthly only | 20 invoices and 5 bills |
| Xero Growing | $59/mo | $11.80/mo for 3 months | Monthly only | Unlimited invoices and bills, no multi-currency |
| Xero Established | $97/mo | $19.40/mo for 3 months | Monthly only | Multi-currency, projects, and mileage claims |
Prices were read on FreshBooks' pricing page and Xero's US pricing page on 18 October 2026. FreshBooks' yearly column is the renewal price on that page, 10% under twelve times the monthly list, so compare that prepay with a full year of Xero. Xero's US FAQ says the subscription is charged monthly and cannot be paid annually, so prepay will not close a small gap. Select publishes no list price, so that tier waits on a sales quote.
The median cheapest paid plan, across the 91 accounting tools on Toolradar that publish one, is $33.33/mo as of 17 October 2026, on the accounting statistics page. Lite and Early sit under that median, and Plus sits above it. Plus is the FreshBooks plan a firm compares once an accountant has to close the file.
How the intro offers change year one
Both vendors discount the opening months for a new customer, and neither discount touches add-ons, so the FreshBooks seat fee stays at full price. FreshBooks' pricing page dates an 80% cut, from 14 October 2026 through 17 November 2026, on Lite, Plus, and Premium for four months. New customers cannot combine that cut with the 30-day trial, and list price returns when the window ends.
A yearly purchase bills the 10% yearly cut and that opening discount together up front. Plus shows a first-year yearly charge of $339.01 on the page, against a $516 strike-through, then renews at the yearly list, so budget the renewal rather than the first invoice.
Xero's US pricing page takes 80% off Early, Growing, and Established for the first three months, then the regular price renews monthly. The terms limit that cut to a first organization bought in the United States on xero.com with code DC80325309US, and they exclude add-ons, usage, and payment fees, so payroll and bill pay sit outside the promo. A registered nonprofit later saves 25% once Xero confirms the status, separate from the intro offer, so confirm it before you use the public sticker.
Three people: Growing stays cheaper
Take an owner, a staffer who sends invoices, and a second staffer who enters expenses. An outside accountant also needs a login, and the firm is past Early's invoice cap, with no vendor bills and no second currency, so the fit is Plus on FreshBooks and Growing on Xero.
At list, Growing is $72 cheaper across the year than Plus with two extra logins. Plus, Premium, and Select include up to 10 accountant invites at no extra cost, per FreshBooks' team-member article, so this case prices two staff logins and not three. Xero's small-business page says every plan includes unlimited general users at no extra seat cost.
Year one, with both intro offers and the team fee left at full price, still favors Xero. Four months of Plus at the promo rate come to $34.40, and eight months at list come to $344, so the plan itself is $378.40. Two team logins for all twelve months add $264, and the FreshBooks year is $642.40, because those seats never enter the discount. Growing's promo year is three months at the intro rate ($35.40) and nine months at list ($531), or $566.40, so Xero is $76 cheaper in that first year.
Paying FreshBooks yearly does not flip the three-person case. Plus renews at $464.40, the two logins still add $264, and the renewal year is $728.40. Growing stays at its yearly list because there is no annual prepay to buy. The gap shrinks to $20.40, small enough that an existing FreshBooks team may stay rather than call the prices equal.
When one owner should stay on FreshBooks
A solo firm that outgrows Early pays $708 over twelve months of Growing at list, against $516 for twelve months of Plus with no extra login. That total is the monthly plan times twelve, not the yearly prepay, so do not subtract a discount you are not buying. FreshBooks is $192 cheaper in that case, and Plus already includes reconciliation, double-entry reports, and the accountant invites. One extra staff login is the last headcount where Plus still undercuts Growing, so rerun the numbers before that hire.
Inside Early's caps, the same solo firm pays $324 a year on Early against $516 on Plus, so Xero is the cheaper reconciled ledger when volume stays low. Lite is $276 a year and undercuts Early by $48, and it leaves out bank reconciliation and accountant access, so the saving is real only if the owner never hands the file to a preparer.
Early's reconciliation is manual unless you add auto-reconcile at $5/mo, and Growing includes auto-reconcile, so the add-on can erase Early's price advantage. A solo owner who wants the bank feed to match itself, and who is already past the invoice cap, is back on Growing and back to the comparison where Plus wins.
Client caps, invoice caps, and vendor bills
FreshBooks counts active and archived clients together, so a finished job you archive still occupies a slot. Lite stops at 5 and Plus at 50, and the pricing-page FAQ says deleting a client frees the slot while archiving does not. A freelancer with six ongoing clients cannot stay on Lite, even with no staff, so the entry plan is a client ceiling, not a general solo plan. Premium and Select lift that cap when the client book is the limit, not the headcount.
Xero Early's cap is throughput, not a client count, so a busy shop with few customers can still exhaust it. The plan allows quotes plus 20 invoices, and entering 5 bills. Approving and sending both count toward that limit, and so can a transaction an app partner starts, which means one invoice per payout can exhaust the allowance without a matching customer count. Growing removes both caps, and Early has no overage to buy, so the next step is a plan change.
Vendor bills force a FreshBooks upgrade even when client count and headcount would have fit. Accounts payable, project profitability, and bill capture sit on Premium and Select, not on Plus, so the first vendor bill changes the plan.
Xero lets Early enter its bill allowance and puts automated bill entry on Growing, so bills alone do not require Established. Established adds multi-currency, project time and costs, employee mileage claims, international bill pay, and a 180-day cash-flow forecast, so buy it for those features rather than for seats. The FreshBooks plan table does not list a multi-currency row, so confirm the gap before treating Plus as cheaper in a second currency.

Logins, payroll, and payment fees
An unassigned FreshBooks profile is free and cannot work in the account, so a contractor cannot use it to see the books. A collaborating role other than accountant costs $11/mo on every plan, including Select after its two included team accounts. FreshBooks says to set the profile back to Unassigned and downgrade any seat you are not replacing, or the fee stays and a departed hire keeps billing.
Payroll sits outside both stickers, so budget it on top of either plan. FreshBooks Payroll is $40/mo plus $6/mo per user on every plan. Xero Payroll, powered by Gusto, is $36/mo plus $6/mo per employee or contractor, also on every plan, and the pricing page does not fold it into the plan price. Advanced Payments, the FreshBooks virtual terminal, is $20/mo on Lite, Plus, and Premium, and included on Select, so add it before calling Plus cheaper if you take cards in person.
FreshBooks' pricing FAQ prints card fees of 2.9% plus $0.30 per transaction, and 1% on ACH bank transfers. Xero does not print one card rate for invoice payments, because those run through a connected processor, and that missing rate can outweigh a small plan gap.
Standard domestic ACH is included on Early, Growing, and Established. Xero's bill-pay fee page charges $1.50 per bill for a standard check, and card-funded or same-day methods cost more, so price a check run per bill before calling Xero cheaper. Inventory Plus is optional on Growing and Established and publishes no list price, so a retailer cannot finish a year-one budget from the pricing page.
FreshBooks' pricing page offers that no-card trial separate from the opening discount, plus a 30-day money-back guarantee after purchase, so a month of use is refundable.
Who should buy which
Pick by the limit you will hit first, because the cheaper sticker is the cap you can live inside for the year.
- Xero Early: one or two people inside the invoice and bill caps who want reconciliation and an accountant login, until a payment app breaks that cap.
- Xero Growing: three or more logins, or a team past the invoice cap that does not need multi-currency. This is the plan that beats Plus when three people log in.
- Xero Established: more than one currency, or time tracked against projects. Buy it for that feature, not for extra users.
- FreshBooks Plus: a solo owner, or an owner plus one staff login, with 50 or fewer clients, no vendor bills, and more invoices than Early allows.
- FreshBooks Premium: vendor bills or project profitability, while per-login fees still stay under Established, rather than a way to add seats.
- FreshBooks Lite: five or fewer clients and no accountant close. Skip it if a preparer has to reconcile the bank.

How we compared
We read FreshBooks' pricing page, including the plan comparison, the offer terms, and the payments FAQ, on 18 October 2026. The same day we read Xero's US pricing page, its US small-business page for the user rule, its US FAQ for annual billing and the nonprofit discount, and its bill-pay fee page. Team-member pricing comes from FreshBooks' own help article, read the same day.
Year totals are this page's multiplication of those published rates, and they exclude sales tax. The intro-year totals keep team logins at the full monthly rate, because neither offer says the staff fee is discounted.
Finpresso data: the newsletter list held 29,000+ subscribers in the October 18, 2026 export. Louis Corneloup, founder of Toolradar and Dupple, edited the comparison.

FAQ
Is FreshBooks or Xero cheaper in 2026?
For three logins and more than 20 invoices a month, Xero Growing is cheaper at list: $59/mo, or $708 a year, against $65/mo and $780 on FreshBooks Plus with two extra team logins. A solo owner on Plus pays less than Growing once invoice volume forces Xero off Early. Early beats Plus inside the invoice cap and 5 bills when the firm still needs bank reconciliation, which FreshBooks holds until Plus.
How much does FreshBooks charge per extra user?
Collaborating team members cost $11/mo each on Lite, Plus, Premium, and Select, so each extra login is its own line. Select includes two team accounts before that fee, and an unassigned profile is free but cannot work in the books. Plus, Premium, and Select include up to 10 accountant invites at no extra cost, so leave the preparer out of the paid-login count.
Does Xero charge per user?
No. Xero's US small-business page says every plan includes unlimited general users at no extra cost, staff and accountant included, so headcount alone never moves the tier. Early still keeps its invoice and bill caps, and multi-currency plus project tracking start on Established. There is no annual prepay, unlike a FreshBooks yearly renewal.
Does either FreshBooks or Xero have a free plan?
No. FreshBooks offers a 30-day trial with no credit card, and that trial cannot be combined with the four-month discount, so it is not a path into the intro price. Xero discounts the first three months by 80% for a new customer's first US organization, rather than listing a $0 plan. For a real free tier, start with the free accounting software roundup.
What does a five-person team pay on each?
Five logins on FreshBooks Plus are the plan plus four team fees, $87/mo, or $1,044 a year at list. The same five people stay on Growing, $336 a year less, unless they need vendor bills or a second currency. Premium adds the bill workflow and those same four team fees on a higher plan, so bills and headcount compound.
Which one handles vendor bills and a second currency?
FreshBooks puts accounts payable and project profitability on Premium and Select, and its plan table does not list multi-currency, so bills push you off Plus and a second currency is unconfirmed. Xero allows a limited bill count on Early, automates bill entry on Growing, and reserves multi-currency, project time, and international bill pay for Established. A firm that needs bills but not a second currency can stay on Growing.
