TL;DR

Short answer: Wave is the cheapest close match to FreshBooks, with a free Starter plan for invoicing and books and Pro at $19/mo or $190/yr for bank imports and cheaper card fees. Zoho Books is free under $50K of revenue and $15/mo billed annually on Standard with three users. Invoice Ninja Pro, at $140/yr, is the pick when you only need invoicing for unlimited clients.

FreshBooks lists Lite at $23/mo for 5 clients, Plus at $43/mo for 50 and Premium at $70/mo, and each extra team member adds $11/mo. The 80% discount it advertises lasts four months, so year two is the number to compare.

1 Wave logo
Top Pick

Wave

Free invoicing and books, with Pro adding bank imports, receipt capture and cheaper card fees.

Pricing
Starter free; Pro $19/mo or $190/yr; cards 2.9% + $0.60 on Starter

Best for: Freelancers and solo businesses that want invoicing and bookkeeping in one cheap tool.

Pros

  • Starter has no monthly fee and unlimited estimates, invoices, bills and bookkeeping records.
  • A year of Pro on annual billing costs $326 less than a year of FreshBooks Plus at list price.
  • Pro removes the fixed per-transaction card charge, subject to Wave's terms.

Cons

  • Automatic bank import is a Pro feature, so the free plan means manual entry.
  • Starter card payments carry a fixed fee on top of the percentage, which hurts on many small invoices.
2 Zoho Books logo

Zoho Books

Full double-entry accounting with a free plan for small revenue and multi-user paid plans.

Pricing
Free under $50K revenue; Standard $20/mo or $15/mo billed annually; 3 users

Best for: Small teams that need two or three logins and real accounting without per-seat fees.

Pros

  • Free plan covers 1 user plus an accountant and up to 1,000 invoices a year under the revenue limit.
  • Standard includes 3 users, so a second person costs nothing extra.
  • Professional, at $40 a month billed annually, adds projects and inventory for 5 users.

Cons

  • The free plan ends once yearly revenue passes the limit, so growth moves you to a paid tier.
  • The free plan cannot take add-ons such as extra users; only document autoscans are allowed.
3 Invoice Ninja logo

Invoice Ninja

Invoicing and payments tool with a free tier and an unlimited-client Pro plan.

Pricing
Free for 5 clients; Pro $14/mo or $140/yr, unlimited clients

Best for: Freelancers who only need invoicing, quotes and payments for many clients.

Pros

  • Pro removes the client cap on annual billing, against FreshBooks Plus's 50-client cap.
  • Free tier includes unlimited invoicing for up to 5 clients, like FreshBooks Lite at no cost.
  • Enterprise starts at $18 a month for 1 to 2 users, cheaper than a FreshBooks plan plus a seat.

Cons

  • It is an invoicing tool first, so you still need separate accounting software for the books.
  • The free plan keeps Invoice Ninja branding on invoices until you upgrade.
4 Zoho Invoice logo

Zoho Invoice

Zoho's forever-free invoicing app, with quotes, recurring invoices, expenses and projects.

Pricing
Free

Best for: Service businesses that want recurring invoices, time tracking and a client portal at no cost.

Pros

  • No paid tier to outgrow: Zoho describes it as forever free with no ads.
  • Includes recurring invoices, automated reminders, time tracking and a customer portal.
  • Moves into Zoho Books later if you need full accounting.

Cons

  • No bank reconciliation or double-entry ledger, so it replaces Lite, not Plus.
  • Zoho points growing businesses to Zoho Billing, a separate paid product.
5 Square Invoices logo

Square Invoices

Free invoicing tied to Square payments, with paid tiers for lower fees and extra features.

Pricing
Free plan; Plus $49/mo per location; cards 2.9% + 30 cents

Best for: Businesses already taking in-person payments with Square that want invoices on the same account.

Pros

  • The free plan sends invoices with no monthly fee, so you pay only processing.
  • Online card payments on invoices carry a 30-cent fixed fee, half of Wave Starter's.
  • Paid plans cap ACH invoice fees at $10 per transfer.

Cons

  • On the free plan, ACH invoice payments cost 1% with a $1 minimum and no cap.
  • No bookkeeping ledger, so it does not replace FreshBooks's accounting reports.
6 QuickBooks Online logo

QuickBooks Online

The accounting standard, now with a limited free plan and paid plans from Simple Start up.

Pricing
Free plan for 1 user; Simple Start $38/mo list

Best for: Owners whose accountant works in QuickBooks and who will grow into a bigger plan.

Pros

  • QuickBooks Free costs nothing and connects one bank for income and expense tracking.
  • Simple Start, at $38 a month, costs less than FreshBooks Plus at list price.
  • Most accountants already work in QuickBooks, which cuts year-end friction.

Cons

  • The free plan sends only 2 invoices a month unless you enable QuickBooks Payments, and has no accountant access.
  • Simple Start includes 1 user, and the next plan up is $85 a month.
7 Xero logo

Xero

Cloud accounting with bank reconciliation on every plan and a low-volume Early tier.

Pricing
Early $27/mo (20 invoices); Growing $59/mo; discounted for the first 3 months

Best for: Small businesses with low invoice volume that want bank reconciliation and room to grow.

Pros

  • Early includes bank reconciliation, 1099 management and sales tax for $27 a month.
  • Growing removes the invoice cap for teams that outgrow Early.

Cons

  • Early caps you at 20 invoices and 5 bills, so it fits low volume only.
  • Growing, at $59 a month, costs more than FreshBooks Plus at list price.

What it is

A cheaper FreshBooks alternative is an invoicing or small-business accounting tool that covers the same core jobs, sending invoices, collecting card and bank payments, tracking expenses and producing tax-time reports, for less per year once promotions end. Some, such as Zoho Invoice and Invoice Ninja, replace only the invoicing side. Others, such as Wave, Zoho Books, QuickBooks Online and Xero, also keep double-entry books your accountant can use.

The comparison point is FreshBooks Plus, the plan most freelancers land on, because it adds bank reconciliation, double-entry reports and accountant access, and lifts the client cap from 5 to 50.

Why it matters

Year two is where FreshBooks gets expensive. On monthly billing, Plus costs $8.60 a month for four months and then $43, so the first year comes to $378.40 and the second to $516. Add one team member and year two reaches $648. Those are the figures to beat.

Our cost scenario is a freelancer with 12 active clients who needs bank reconciliation, and the same freelancer with one assistant. Solo, Wave Pro on annual billing costs $190 a year, Zoho Books Free costs nothing under the revenue limit, and Zoho Books Standard costs $180 a year billed annually. With an assistant, Zoho Books Standard stays at $180 because it includes three users, while FreshBooks Plus plus one seat is $648.

Solo, the saving runs from $326 a year on Wave Pro to $516 on Zoho Books Free; with an assistant it is $468 on Zoho Books Standard. Card processing comes on top for every option.

Key features to look for

Client caps
FreshBooks limits billable clients to 5 on Lite and 50 on Plus. Wave, Zoho Books and QuickBooks Online do not cap clients this way, and Invoice Ninja's free plan caps at 5 while Pro is unlimited.
Extra users
FreshBooks charges for each team member on every plan. Zoho Books Standard includes 3 users and Professional 5, and Zoho's add-on user is $3 a month.
Bank feeds
Automatic bank import is what most people pay FreshBooks for. Wave puts it on Pro, Zoho Books adds bank feeds on Standard (Free still has bank reconciliation), and QuickBooks Free connects one bank.
Promo versus list price
FreshBooks, Xero and QuickBooks all advertise steep first-months discounts. Compare list prices, because the promo ends after three or four months.

Pricing

Compare list prices, not launch offers. FreshBooks advertises 80% off for four months, Xero 80% off for three months and QuickBooks 50% off for three months. After that, FreshBooks Plus is $43 a month, Xero Early $27, QuickBooks Simple Start $38, Wave Pro $19 and Zoho Books Standard $20 on monthly billing.

Card processing is the second cost, and the fixed part matters: Wave Starter adds $0.60 to each card payment while Square adds 30 cents, so a high-volume invoicer should price these on their real monthly card total.

Yearly billing changes the order a little: FreshBooks takes an extra 10% off, Zoho Books Standard drops by a quarter, Invoice Ninja gives two months free and Wave Pro gets an annual price too.

Every price was read on the vendor's own page on 17 October 2026: FreshBooks, Wave, Zoho Books, Zoho Invoice, Invoice Ninja, Square Invoices, QuickBooks and Xero.

Mistakes to avoid
×Comparing a promo price with a list price. FreshBooks's $8.60 Plus price lasts four months, and Xero's and QuickBooks's discounts last three.
×Forgetting the client cap. FreshBooks Lite stops at 5 billable clients, so a sixth client forces Plus.
×Ignoring seat costs. FreshBooks bills every team member as an add-on, while Zoho Books Standard already includes three users.
×Switching to an invoicing-only tool and losing the books. Zoho Invoice, Invoice Ninja and Square Invoices do not reconcile bank accounts.
Expert tips
→Export your FreshBooks clients, invoices and expenses before cancelling, and import them into the new tool while both are open.
→If your revenue is under the free-plan limit, start on Zoho Books Free and move to Standard only when you cross the limit or need more users.
→Price card processing on your actual monthly volume, because a fixed per-payment fee adds up on many small invoices.
→Check with your accountant which ledger they support before moving the books.

The bottom line

Switch to Wave if you are solo and want the lowest bill for invoicing plus books: Starter is free and Pro adds bank imports for well under half of a FreshBooks Plus year. Switch to Zoho Books if two or three people need logins, because Standard includes them where FreshBooks charges per seat. Pick Invoice Ninja or Zoho Invoice if invoicing is all you use FreshBooks for.

Stay on FreshBooks if you rely on its proposals, retainers and project profitability on Premium and the price difference matters less than the workflow. Ask your accountant which ledger they support before moving the books.
