FreshBooks vs Zoho Books (2026): Which Fits Your Work?
Compare FreshBooks and Zoho Books on US pricing, client limits, users and accounting workflows for a small service business.

Zoho Books is the lower-cost starting point for an eligible small business; FreshBooks deserves a look when proposals, client retainers and a service firm's billing workflow are central to the purchase. Zoho Books has a free plan with a revenue eligibility limit and Standard at $20 a month. FreshBooks Lite is $23 a month at its regular price, with a five-client invoice limit.

FreshBooks lists different allowances by plan and separately priced add-ons. Its current pricing page displays a temporary promotion alongside regular prices. Zoho Books' US pricing page sets out its free-plan eligibility, users and paid tiers. The prices above are regular prices before sales tax, optional services and payment fees.
Start with the number of clients and people
A consultant with a handful of recurring customers may fit FreshBooks Lite. The plan's five-client invoice limit matters even if the total number of invoices is small: a sixth client is a different question from sending a second invoice to an existing client. If the business needs more room, compare Plus at its regular $43 monthly price, and check the vendor's rules for what counts toward the allowance.
Zoho Books Free lists one user plus an accountant and offers invoices, quotes, expenses, bank reconciliation, recurring invoices and a customer portal. The vendor says eligibility depends on financial-year revenue not exceeding $50,000. Free also limits invoice creation to 1,000 a year. A business near either limit should ask what happens if it exceeds it, rather than assuming the free tier will always remain available.
Zoho Books Standard includes three users and lists connected bank feeds. The number of people who need access, and their roles, can change the choice. Count the owner, anyone who prepares invoices and the person reconciling accounts. Ask how accountant access works in the tier under consideration, and whether extra users require a paid add-on. The FreshBooks pricing guide and Zoho Books review give more context.
Compare recurring cost, not only the offer
At regular monthly prices, twelve months of FreshBooks Lite is $276 and Plus is $516. These figures multiply the advertised monthly list price by twelve and assume the same tier for all twelve months; they exclude taxes, payment fees and add-ons. Zoho Books Standard is $20 a month, or $240 for twelve monthly payments. Its annual option is advertised at $15 per organization per month billed annually, equivalent to $180 for a year before taxes and optional charges.
A business eligible for Zoho Books Free has no plan subscription charge under the current published terms. That does not mean every adjacent service costs zero. Payment processors, extra document scans, a bookkeeper or another application can add costs. Ask for the whole setup: who pays for any connection, which user needs an account, and what happens as the company grows.
FreshBooks' page displayed an 80% discount for four months when checked. Its offer terms describe eligibility and the purchase window. Treat that as a time-limited offer, not the ongoing monthly price, and confirm the actual checkout. Proposals and billing for service work
FreshBooks Plus lists estimates, proposals and client retainers as well as invoicing. These can matter when the same business needs to scope a job, get the customer to agree and bill for ongoing work. An agency comparing the plans should trace that full path: does it need a proposal document, a deposit, a recurring invoice or an arrangement that spans several projects?
Zoho Books Free lists invoices, quotes and recurring invoices, with a customer portal. Standard adds progress invoicing. Those features may cover a simpler process, but a feature name alone will not tell you whether the document looks right or the approval steps match the business. Look at each vendor's current documentation and request a demonstration of the particular workflow before choosing.
A one-person consultant and a firm with multiple project managers can have different priorities even if their annual revenue is the same. Compare the invoices and handoffs that actually occur. If a second person prepares drafts while the owner approves them, confirm that the selected tier's user roles support that arrangement. For related comparisons, see FreshBooks vs Wave and FreshBooks vs Xero.
Bookkeeping, bank work and reports
Zoho Books Free lists bank reconciliation and common financial reports. Standard adds bank feeds, custom reports and transaction period locking. Reconciliation and a connected feed are different steps: one helps match the books to the bank, while the other brings transactions into the product. A business considering the free tier should identify how statements arrive and how much manual entry that creates.
FreshBooks Lite lists expense tracking and tax-time reports, while Plus lists financial and accounting reports and accountant access. Check the exact report needed with the accountant rather than equating a marketing category with a particular report. A monthly profit and loss report, a balance sheet and a transaction export answer different questions.
Receipts also deserve a specific check. The FreshBooks plan comparison lists receipt scanning on Plus; Zoho Books lists receipt autoscans and plan-based limits. Record who captures receipts, which fields the bookkeeper needs and where the documents must be kept. Neither a subscription nor a scanning feature guarantees that records are complete or that a filing is correct.

Add-ons and processing change the quote
FreshBooks lists extra team members at $11 per user per month and payroll as an add-on. If another employee needs a login, ask which role and permission they require, then add the applicable license cost to the plan comparison. Payroll has its own listed price and per-user component, so a firm paying workers should obtain the full current quote rather than assume payroll is part of Lite or Plus.
Zoho Books includes different user allowances across its tiers. A change in team size may mean an add-on, a new tier or a different configuration. Check the provider's current user pricing and any restrictions on the free plan. Also check whether an external accountant is counted differently from an ordinary user.
Both vendors list ways to accept online payments. A plan that lets you send an invoice is not the same thing as free card processing. Determine the rates for the payment methods your clients actually use, as well as any connected provider's subscription or transaction charges. One business may send few large invoices while another sends many smaller ones; their total processing bill can differ even at the same subscription price.
Which should you choose?
Choose Zoho Books for the shortlist if the free plan's revenue and user conditions fit your business, or if Standard's bank feed and three-user allowance solve the job at the paid starting price. Confirm that the plan supports your required invoices, reports and integrations before treating the lower price as the deciding factor.
Choose FreshBooks for the shortlist if the business earns money from client work and the proposal, retainer and invoice process matches its needs. Price the plan that fits the actual client count, then add any team accounts and payment costs. A promotional first bill may make a trial attractive, but the regular renewal is the better basis for the ongoing budget.
If neither product covers the accounting process your adviser needs, compare the FreshBooks review with the Xero review and ask for an export of a sample report. A useful choice should reduce handoffs and allow the business to get its data back, not just win a table of features.
